Participant Contract for Cosmic Volunteers

If you are a confirmed participant in one of our pograms, you must read and agree to the terms of the Participant Contract for Cosmic Volunteers.

Note that there is no longer a paper contract to print and send to us. The contract is now online only and is shown on this page.

Please read the contract terms below. Then at the bottom of the page, fill out your name and email address and click the Submit button. You will receive shortly an email confirmation with the entire contract including your name and date signed.

If you will be under 18 years old on your program start date, your parent/guardian must also sign the contract at the bottom of this page.

Participant Contract

1.By sumbitting my Online Application and Deposit, I have agreed to participate in one or more of Cosmic Volunteers’ programs.

2. I agree to follow all applicable rules and policies of Cosmic Volunteers and its partner organizations as well as the laws of the host country(s) and the guidelines of the communities I travel to.

3.I understand that all program contributions must be paid in full at least 30 days before the Program Start Date.

4.I understand that if I decide to cancel my program, Cosmic Volunteers retains my deposit of $250 as a cancellation fee. I must send an email or letter informing Cosmic Volunteers of the cancellation. The percentage of the program fees refunded by Cosmic Volunteers depends on the date I cancel in relation to the program start date: 61+ days: 100% refunded. 60 to 31 days: 50% refunded. 30 or fewer days: no refunds.

5. I understand that if Cosmic Volunteers cancels the program after the Program Start Date for whatever reason, Cosmic Volunteers will refund the unused portion of the total program fees paid.

6.Ground transportation from the airport to the program site is included in the program fee. If the participant wants to use private transport (such as a taxi) for long-distance, city-to-city travel, the participant is responsible for those costs. The participant is responsible for costs of daily transport from the accommodation to the program site.

7.I understand that I am responsible for any additional costs I may incur during personal time, on activities that are outside the scope of the program or occur before or after my program dates.

8.I understand that Cosmic Volunteers has a zero tolerance policy towards the possession and use of illegal substances. If I am found in possession of, or are under the influence of such substances, Cosmic Volunteers will cancel my program immediately and no refunds of my program fees will be issued.

9.I understand that neither Cosmic Volunteers nor its partner organizations will provide me with insurance of any kind, including travel and/or medical insurance.

10.I understand that it is my responsibility to advise Cosmic Volunteers of any medical conditions that may affect my participation in the program or put my health at risk.

11.I release Cosmic Volunteers, its officers and agents, from any and all claims and causes of action for loss of property, personal injury or illness, accident, delay or expense sustained by the Participant arising out of any travel or activity conducted by or under the control of Cosmic Volunteers.

12.I release Cosmic Volunteers and its agents, and agree to indemnify them with regard to any financial obligations or liabilities that the applicant may personally incur, including, but not limited to, medical and related costs or any damage or injury to the person or property of others that the Participant may cause while participating in this program.
